You are applying for a position at Intrum. This privacy statement applies to you and your personal data when you submit an application.

This privacy policy applies to your personal data when you submit a job application to us. Intrum is an international Group with several companies in different countries. The Intrum company to which you submitted your application is responsible for the processing of your personal data. This policy describes how Intrum Oy processes personal data we collect from you or from third parties during the job application process.

Intrum processes your data for the following purposes:

  • Recruitment. We process your data to verify whether you are a qualified candidate for the job for which you are applying.
  • Execution of labour law rights and obligations. We may process your personal data to demonstrate legal obligations related to the selection, to resolve complaints or to defend legal claims.
  • Compliance with the law. We may process your personal data to comply with a legal obligation or legal order.


Legal basis for processing

Legitimate interest
We process your personal data on the basis that it is necessary for the purposes of our legitimate interest. In this case, our legitimate interest is recruiting qualified candidates. We are also required to process your personal data in accordance with applicable laws. For example, to verify compliance with legal requirements applicable to us, we store your personal data for a predetermined period after the end of the recruitment process.  

Pre-contractual measures
In some respects, the processing of personal data is also necessary for the preparation of the employment contract, in which case the legal basis is the measures preceding the conclusion of the employment contract.

Consent
In some cases, we may be required by law to obtain your consent to process certain types of personal data or to carry out certain processing activities. For example, certain assessments carried out in connection with the recruitment or the necessary background checks such as a credit check require your consent. The provision of the aforementioned information is necessary when entering into an agreement with Intrum, and failure to provide the aforementioned information may prevent the candidate participating in the recruitment process.

Purposes of the processing

Data Controller will process your data for the following purposes:

  • Recruitment. We process your information in order to ascertain whether you are a qualified candidate for the role you have applied for.
  • Dispute resolution. We may process personal data for the purposes of resolving disputes, complaints or legal procedures.
  • To comply with the law. We may have to process your personal data to comply with the law or a judicial order.

Parties who may have access to your data

Data Controller may share your personal data with third parties in the following circumstances:

  • If we obtain information from third parties (as described above), we will provide them with your name and any other information necessary for them to provide us with relevant information about you.
  • We may share your personal data with other third parties acting on our behalf, such as a service provider. In such cases, these other third parties may only use your personal data for the purposes described above and only in accordance with our instructions;
  • Our employees will have access to the personal data. In such a case, access will be granted only if necessary for the purposes described above and only if the employee is bound by an obligation of confidentiality;
  • We may disclose your personal data to other establishments within the Intrum Group for recruitment and reporting purposes but only to employees who are bound by an obligation of confidentiality.
  • We may share your personal data if required to do so by law or court order, for example with law enforcement agencies or other governmental agencies.

Categories of personal data

  • When you submit your application to us, we collect the following information:
    Contact information. Including name, address, email address, phone number.
  • Details of your resume/CV. Including your work history, education, skills, language skills and other information that you have included in your resume.
  • Motivation letter (application letter). Any information you have included in your motivation letter.
  • Qualification for work. You may need to demonstrate that you are legally qualified for the job for which you are applying.
  • Background check. Depending on the nature of your assignment and the country in which you work, we may ask you to obtain a statement from the authorities certifying that you have not been convicted of any crime that would prevent you from performing that assignment.

In accordance with the Act on the Protection of Privacy in Working Life (759/2004), we obtain personal data about you primarily from you.

To collect information elsewhere, we need to obtain your consent before seeking such information:

  • Internal applications. If you already work for Intrum and apply internally for another position, we may use the information in our personnel register to supplement the information you provided to us when applying for a job.
  • Personal assessment. We may ask you to undergo an assessment of your competence, personality or cognitive abilities. Such assessments are usually carried out using a third-party computer program or a third-party company that shares the results with us. Before carrying out such an assessment, we will provide you with additional information specifically related to your assessment.
  • Pre-employment check. Depending on the nature of the job assignment and the country of employment, we may ask an expert to determine at the pre-employment check whether there are any circumstances that would prevent you from taking on the job assignment in question. Whether the check will be carried out at all, as well as its scope and purpose, will be discussed with you before the start of the check.
  • Recommendations. We may decide to obtain recommendations from people who have previously worked with you. We will only contact these people if you have provided us with their name and contact details. 


In addition to the situations mentioned, we only process personal data that is necessary for your employment relationship, related to the management of the rights and obligations of the parties to the employment relationship or the benefits we offer you, or the specific nature of the work in question, in compliance with the Act on the Protection of Privacy in Working Life.

Parties to whom we may grant access to your data

Intrum may share your personal data within the Intrum Group or with third parties such as subcontractors acting on behalf of Intrum, such as service providers of personal assessment and recruitment systems in the job application process and in the event of system errors or support situations. In such cases, these third parties may only use your personal data for the purposes described above and only in accordance with Intrum's instructions.

Location of your personal data

As a rule, your personal data will not be transferred outside the EU or EEA. However, Intrum may use third parties located outside the European Economic Area to store your data as service providers. In such cases, personal data may be transferred outside the EU/EEA, provided that, when transferring personal data, the transfer takes place using the EU Commission's standard contractual clauses or other transfer criteria permitted by law. 

Retention of personal data

We retain your personal data for a limited period and delete or anonymise it after the retention period has expired so that the data can no longer be used to identify an individual. Intrum deletes the job applicant's application-specific data no earlier than 12 and no later than 24 months after the date of the application’s selection decision. We keep open job applications valid for one year after their arrival. If you have not received a job offer from us, we will delete your open job application within 12 months after its  validity. 

We may process your personal data for a longer period after the end of the application process if a dispute is pending, or if you have given us permission to keep your personal data in the register for a longer period.

Your rights under data protection law

Right of access

If we process your personal data, you are entitled to receive a copy of the personal data we hold about you and certain details of their use.

Your personal data will normally be provided to you in writing unless otherwise requested. If you have made a request electronically, the information will be provided to you electronically where possible.

Right to rectification

We will take reasonable measures to ensure that the information we hold about you is accurate and complete. However, if you do not think this is the case, you can ask us to update or correct the information.

Right to erasure

In certain situations, you have the right to ask us to delete your personal data – for example, if the personal data we have collected is no longer needed for the original purpose, or if you withdraw your consent. However, this should be assessed in relation to other factors. For example, we may have legal or other regulatory obligations that prevent us from complying with your request.

Right to restriction of processing

In certain situations, you are entitled to ask us to stop using your personal data – for example, if you think that the personal data we hold about you may be inaccurate, or if you think that we no longer need to use your personal data.

Right to data portability

In certain situations, you have the right to ask us to transfer the personal data you have provided to us to another third party of your choice.

Right to object

You have the right to object to processing based on our legitimate interest, which is the case for most of the processing activities described in this privacy policy. Unless we have a legitimate reason for the processing, we will no longer process personal data on this basis after you have indicated that you object to it. However, please note that this means that we will be unable to consider your application.

Rights related to automated individual decisions

You have the right not to be subject to a decision based solely on automated processing such as profiling which produces legal effects concerning you or similarly significantly affects you. Intrum does not usually use automated decision-making or profiling in the recruitment process, but if you have been subject to an automated decision and do not agree with the outcome, you can contact us using the contact details below and ask us to re-evaluate the decision.

Right to withdraw consent

If Intrum processes the candidate's personal data based on consent, you have the right to withdraw your consent. Please note that the withdrawal of consent has no impact on the processing of your personal data that has already taken place with your consent prior to its withdrawal.

Right to lodge a complaint

If you believe that we are not complying with applicable data protection legislation, you have the right to lodge a complaint with the Data Protection Ombudsman. More information about the Data Protection Ombudsman and the complaints process can be found at www.tietosuoja.fi.
